Building a community for your customers, members or employees can be a benefit to your organization

Building a community for your customers, members or employees can be a benefit to your organization. Communities are a great way to:

Facilitate open, two way dialogue with your audience

Obtain direct and immediate feedback about your product or services

Extend product reach and open new market opportunites

Deliver information to customers and partners quickly and efficiently

By creating a community, you have the ability to not only reach your target audience and encourage the interaction listed above, but establish yourself as a leader and a thoughtful innovator of customer service and relations.

Communities offer a wide range of functionality from Community groups within an organization that can interact amongst the group members themselves, to a larger scale communities which includes forums, blogs, and community member interaction.

Determining which is best for you and your organization goes a long way in determining the best type of community set up and software. There is a wide range of paid and free community software packages available. Deciding which one is best for your organization can be overwhelming if you don’t have a good sense and idea of your community goals.

Establish these goals first, what do you want your community to do, who do you want to reach with your community, and what type of interaction do you want your community members to have? These are all important aspects of being able to set up the correct community for your organization to further your web presence and customer interaction.

A few open source communities that I’ve recently interacted with and have found to be terrific are:

While Ning offered a great community structure previously, the changes that they are undergoing currently will provide an even better community structure in the future. Check out the proposed changes at: http://about.ning.com/announcement/

DotNetNuke (www.dotnetnuke) also offers a great open source structure that provides you with the ability to add and purchase modules according to your needs and customize as needed with a developer. The support by the DotNetNuke module developers is also excellent and they can assist with alterations if necessary depending on your needs and the module. I’ve found them to be more than willing to assist.

Communities allow you to reach your audience and interact in a larger and much more open way. Adding this ability onto your website and/or establishing a separate community site is a terrific way to engage your audience and members and provide them with a vehicle for quick and easy interaction.

It amazes me how little large, well known companies focus on customer service. Is this because they feel that their name is branded and that they’ll receive sales regardless of their customer service or because they just don’t care that you’re spending your hard earned money at their company?

Recently, I had two different experiences with 1) a well known internet company and 2) a company that isn’t so well known. I made purchases that were “guaranteed” to arrive by a specific date. Due to weather in the Eastern US the items were delayed. Surprisingly, I had two very different customer service experiences.

From the well known internet company - I never received any notice/warning, communication about the delay. The items just didn’t show. I had to keep checking the tracking information in order to determine when I would be receiving the items (which was a moving target due to delays, etc.). I realize with weather related issues it really isn’t in the control of the company, but according to the delivery tracking information, the packages didn’t even leave their facility prior to the weather issues. Basically, the packages left late in the first place.

From the not-so-well-known internet company – I received an email 2 days before the impending weather hit the East Coast warning me about the possibility of a delay and informing me that I could contact them and cancel my order. I then received daily updates via email from this company on the status of my order and they also upgraded the shipping type to a higher level in order for me to receive the package sooner than the level that I purchased. At no charge.

The final outcome, my packages from the well known company were over a week late and I never received any type of notice or communication from them at all. The package from the not-so-well-known company was a few days late and they have a customer for life. I find my self more apt to read their advertising emails when they arrive, look at their site, recommend them to my friends and family, and place orders for items not really needed. Yes, I am admitting to ordering a few things that I really don’t need.

As far as my continued support of the well known company, I don’t spend any time looking at their advertising emails or visit their site to see what they have that may be of interest. Just not interested in giving them my money any longer since they don’t seem to value me as a customer.

Customer service plays a very important role on not only current, direct sales, but future sales as well.

No customer service = No sales.

What are your doing to ensure that you have a customer for life?

I recently came across a survey report that was generated by Marketing General Inc. They conducted a survey, of over 500 association professionals on the best tactics and strategies found to have positive results in engaging new members, renewing existing members, and reinstating former members.

The survey is comprehensive and contains a wealth of information that includes some of the higher level points below as well as results and graphics that display: How Prospective Members become aware of the Association, How do Associations Allocate Marketing Dollars and What Best Describes your Marketing Approaches and Results. This is just some of the information contained within the survey. Visit Marketing General Inc. to download and receive your copy of the survey. You’ll need to give up your email address but definitely worth it.

Some of the information contained within the report includes:

Most associations report continued membership growth – 46% of the associations reported that have seen their total membership grow with 54% of this growth contributed to new members.

Direct mail has been found to be the most effective channel for recruiting members with a listing/ranking of the most effective as:

Direct Mail 46%

Member get a Member and WOMM 32%

Email 24%

Promotion at Own Conference 15%

Personal Sales 11%

Of note also is that associations who use direct mail as a recruitment channel also are more likely to report membership renewal rates of over 80% compared to those who do not.

Giving a first year membership/dues discount is the most effective incentive – Of those who reported offering a new member dues discount, 75% had renewal rates of over 80% and 25% under 80%.

A personal approach to new members was used and below are the top 10 methods:

Mailed Welcome Kit

Email Welcome

Membership Card or Certificate

Volunteer or Staff Welcome Call

Invite to Chapter Meeting

New Member Survey

In Person New Member Reception

Special Discounts on purchases

Custom New Member Email Follow-Up

New Member Newsletter

Continual renewal contacts and services may improve renewal rates.

The data appears to indicate that organizations that stop their renewal process earlier are more likely to have membership renewal rates under 80%. However, those that continue in their efforts to renew members are more likely to have membership renewal rates over 80%.

In fact, those who say that they “don’t stop contact” are 83% more likely to be in this higher renewal grouping than those who stop contact earlier.

As mentioned, the above data are key-pionts of some of the data contained within the report. Visit the Marketing General Inc. website to download your full copy of the report.

The U.S. Postal Service announced on Wednesday 8/5, a loss of $2.4 billion in its third quarter which is contributed by the drop in mail volume during the third quarter by 7 billion pieces, or over 14 percent, compared to last year.

On the other side of the fence however, the electronic/digital world is seeing an increase in the number of social media users and companies using social media for marketing purposes. As reported as recently as last month, Social Media sites such as MySpace, Facebook and Twitter continue to see an increase in new users, from approximately 10M to 20M unique users year over year respectively. Check out the article found on Mashable.com related to Twitter and Social Media Growth.

Is electronic marketing the wave of the here, now and the future? Based upon recent polls taken earlier this year by www.toprankblog.com that includes the following findings, Social Media outlets are definitely the way that the masses are using to market and reach their audience. Sources being used the most are indicated below:

* Blogging (34%)
* Microblogging (Twitter) (29%)
* Search engine optimization (28%)
* Social network participation (Facebook, LinkedIn) (26%)
* Email marketing (17%)
* Social media monitoring & outreach (17%)
* Pay per click (14%)
* Blogger relations (12%)
* Video marketing (10%)
* Social media advertising (7%)

In essence, do you have an electronic/digital marketing plan in place? If not, this should be reviewed as a viable alternative to traditional printed marketing pieces and include a strategy and marketing goals in order to track and see your RIO.

If you’re not there yet, you need to be. The world is changing and evolving each and every day. To stay ahead you need to play ahead and have a plan/strategy that rivals your competitors and keeps you on top and in the forefront of your industry.

In today’s economy and considering current technologies that are available there are alternative solutions for delivering content to users vs. the traditional print method. Traditionally printed pieces for annual meetings, reports, technical seminars or member directories can be accessed and delivered to the users via electronic mediums while still providing the users with the option to purchase the hard copy versions as well.

Print to digital media

These alternatives provide solutions for those that want “quick” access to the material. These solutions can set yourself apart from your competitors and steer your organization towards the digital/electronic world that has been knocking at the door for years.

What are some of the electronic solutions?

Electronic Download (PDF download) – this item has increased in value over the past several months and there has been an increase in the amount of PDF files that are available for download via a quick and easy purchase directly from your website. Some clients that I’ve spoken with over the past several months are even providing the electronic version for free and then allowing members to “order” and pay for the printed version if they want hard copy or perhaps receive a discount if they purchase both. This all depends on your business model and strategy for members and marketing materials but a viable alternative to delivery electronic content.

Online Member Directories – custom develop a member module that provides users with the ability to search for members. This is still a topic that is relevant in today’s market and can include not only having the standard member web search, but also creating a member directory PDF file based off of your member database. As an example of this, a program can be developed that securely accesses your current member database either daily or weekly and then generates a pre-formatted/designed PDF file that is set with your member print standards. This PDF file will have the most updated information directly from your member database and can be accessed via your member website and/or available for purchase and print-on-demand.

Electronic Annual Meeting Programs – this is similar to the member directory as outlined above. You have an annual meeting coming up and the programs and schedules/presenters/participants are always changing and being updated as the meeting date looms ahead. A program can be developed that securely accesses your program database and creates a PDF file for electronic download and/or print-on-demand for the attendees. The look/feel of the program will be set up so that the program has the current meeting design theme and will allow for the content to be as up-to-date as possible.

These are all viable solutions to consider when viewing budgets and ways to increase your digital and electronic presence. Technology today presents you with solutions to continually meet the demands of the consumers and your web site users to stay in front of your competition.
